This notice explains how CLEANER PAL LTD uses personal data when we provide CleanerPal software and related apps throughout the United Kingdom (England, Scotland, Wales, and Northern Ireland).

1. Who the controller is

CLEANER PAL LTD (the company, not any individual director or shareholder) is the controller for:

• accounts and logins of people who buy or administer CleanerPal;
• billing for our software subscriptions;
• security logs, support tickets sent to us, and website enquiries;
• marketing to firms who have asked for it or where we have a lawful basis.

The cleaning firm is the controller for:

• householders and bookers it records;
• staff it invites;
• jobs, invoices, notes, photos, and messages it stores about its own work.

We process that firm data as a processor under our Data Processing Addendum.

2. Data we use as controller

• name, email, phone, and role of office users;
• firm trading name, legal name, UK address, and plan;
• Stripe identifiers for software checkout (we do not store full card numbers);
• device and log data needed to run and secure the service;
• support correspondence.

We do not use householder card details for a firm’s Connect charges as controller. Those payments are taken on the firm’s Stripe Express account.

3. Lawful bases

• Contract — to provide the software the firm has bought and to operate accounts.
• Legitimate interests — to secure the service, prevent abuse, and understand how the product is used at an aggregate level.
• Legal obligation — company, tax, and accounting records we must keep.
• Consent — where we ask for it, including optional marketing and optional browser notifications the firm turns on.

4. Processors and transfers

We use:

• Google Cloud / Firebase for hosting, authentication, and databases;
• Stripe for software fees and, where the firm enables it, Connect for householder payments to the firm;
• email and SMS providers the firm enables for operational notices.

Personal data is processed in the United Kingdom and in countries where those providers operate. Where a transfer outside the United Kingdom is required, we use an approved UK transfer mechanism.

5. Retention

We keep account and billing data for as long as the firm has an account and for the period UK law requires after that. Security logs are kept for a limited operational period. Firm-controlled records are kept until the firm deletes them or the account is closed and the export window has ended.

6. Rights

People whose data we control may ask to access, correct, delete, or restrict that data, or to object to processing based on legitimate interests, and may ask for portability where the law provides it.

7. Children

The service is for cleaning businesses. It is not directed at children.

8. Location and cameras

We do not run a live staff map unless that feature has been enabled for the firm under a written decision. Clock times and job photos the firm stores are the firm’s records. We do not sell personal data.

9. Cookies

The office and booking sites use cookies needed to sign in, keep a session, and remember settings. We do not use advertising networks on the logged-in office.

We will publish updates to this notice and change the date below.
